Set up your voice guide and sources

How approved Knowledge Studio documents and your voice guide shape every Content Generation draft

Two things in Knowledge Studio shape every draft: your approved documents decide what Scrunch may say, and your voice guide decides how it says it. Set them up before your first draft and you'll have far less to fix.

Approved documents are the facts

Scrunch writes facts only from your approved Knowledge Studio documents, your brand description, and any note you add when you start the draft. A document that's still a draft, or waiting for approval, isn't used. When a draft states something those sources don't cover, it's flagged No source for you to fix.

To get better drafts:

  • Approve the documents that describe your products, customers, and proof points.

  • Keep them current. When you approve a new version, it replaces the old one for every draft written after that.

  • Leave out anything confidential. Approved text can end up on a public page.

Facts added by your team

When you choose Add to Knowledge Studio on a claim, the fact goes into a document called Facts added by your team. If your brand role is Admin or Editor, it's added as an approved fact. Otherwise, or if the document has open comments, the fact is proposed and waits for someone to approve it.

The next drafts can use the fact as soon as it's approved.

Your voice guide

The voice guide is a Knowledge Studio document that sets out how your brand sounds: your principles, voice, tone, mechanics and claims. It also includes:

  • A never list: words and phrases you never use.

  • Word pairs: say this, not that. Write each one as Use "customers", not "users".

Scrunch writes each draft to the guide, then checks the wording against the never list and word pairs. Keep one item per line. Anything that breaks a rule shows under Voice in the review list.

Draft your guide

You don't have to write it from scratch. Scrunch can draft it for you from your site's pages and your approved documents.

  1. In Knowledge Studio, choose Draft it on the Draft your voice guide notice above your documents. You can also choose Draft your voice guide from the notice in Content Generation. You need to be a brand admin or content editor.

  2. Scrunch reads your pages and approved documents and drafts the guide. It opens in Knowledge Studio when it's ready.

  3. Read the proposal, edit it, and approve it.

If Scrunch can't find any of your site's pages or approved documents, it can't draft the guide yet. Approve a document first, then try again.

Until it's approved

A drafted guide is a proposal. Drafts follow the newest proposal until someone approves one, and then always follow the approved version. Until a guide is approved, Content Generation says which it's using:

  • Your content is being generated without a voice guide.

  • Your content is being generated from a voice guide nobody has approved yet.

Draft it again

To refresh the guide, choose Draft again. The new proposal keeps the never list and word pairs from your approved guide. Drafts keep following the approved guide until you approve the new one.
